2. Volunteer Expenses


As a Club, we do not want any of our volunteers to be out of pocket for any expenses that they incur whilst helping the Club. The Committee has therefore approved the payment of all legitimate expenses incurred by volunteers whilst they are volunteering for the Club.

The payment of any volunteer expenses is managed in accordance with the Club's policy, which is available HERE

How our Volunteers can help the Club

As a Community Amateur Sports Club (CASC), we can reimburse volunteers for genuine out-of-pocket expenses. Where our volunteers can help is that they can choose to give the reimbursement to the Club as a donation. This means that the Club can then, completely legitimately, claim Gift Aid on that donation, which currently stands at 25%.

Why It Matters
By recording and monetising volunteer expenses, it means that the Club is able to recover extra money from HMRC without prejudicing our volunteers. This extra money could enable us to invest in further projects, including sustainable projects to help the Club meet its sustainability goals.

Tax Implications
There are NO tax implications, as long as you are a UK taxpayer. It’s similar to sponsoring someone for a charity event. Higher-rate taxpayers may be able to claim back donations through self-assessment.

How to Make an Ongoing Claim
If you are claiming mileage travel expenses, then please complete our online volunteer travel expenses form, which you can access HERE and then submit the claim.
If you are claiming any other expenses in accordance with the Club policy, then please complete the claim form, which is set out in the policy, and then submit this to the Club Treasurer as indicated. The Club will process your expenses in accordance with the Club policy.

Once the volunteer has received the money, then it has the option to donate the expenses back to the Club as a donation. This is completely discretionary but obviously it would be a significant bonus if our volunteers could donate the money to thew Club.

Gift Aid Declaration
Before the Club can process Gift Aid requests, you must complete the Gift Aid Declaration form. You can download the HMRC form by clicking HERE. Once you have done this then please complete it, sign it and send it back to the Treasurer.
